Job Summary

The Coordinator Business Management is responsible for providing functional project management, financial, auditing, and administrative support to the Chief Marketing Officer, and Chief Strategy Officer

This person works closely with the senior Leadership teams under each executive’s area of responsibility, and with the associated internal partners (Finance, HR).

Main Responsibilities

Office of the Senior/Vice President – Support and Administrative Management

Executive support below applies to 2 Executives:

· Responsible for the executive business travel arrangements both domestic and international including flights, hotels, vehicles, business meetings, dinner reservations and special events, etc.

· Anticipate changes and individual needs associated with pending meetings, travel requirements, etc., and provide proactively to the executive for their review in advance

· Manage a highly changing daily schedule, coordinate agendas as well as all arrangements for meetings including driving directions, presentation materials, catering, etc., all prepared in advance of the event and made available to the executive for review

· Assesses and prioritize all issues for the executive offices; daily monitoring and summarizing email for the SVP Network Operations, and VP Engineering, including flagging pending tasks, approvals, responses required.

· Monitor and manage all mandatory training, including rollout, and drive completion across functions and subgroups

· Provide weekly updates to all Functional Leaders, working closely with training group to identify, address, and own the correction of any inaccuracies with the data provided.

Business Management

· Manage key corporate initiatives to ensure plans and visions have the resources assigned.

· Manage/support identified projects within established timelines to completion, with oversight by Functional leader

Communication and Events

· As assigned; manage all logistics and catering associated with the needs of the event, the travel or other needs of the participants and the plan of the event

· Lead and plan Recognition and Engagement initiatives with oversight by Functional Leaders

· Manage all office supplies, including proactive replenishment of executive suite resources (kitchen items, office supplies, other needs) on a bi-weekly basis, or as otherwise determined by Manager

Working Conditions

The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, and stress.

Requirements

Education/Certification/Designation

· Bachelor’s Degree in Business Management or equivalent*

Technical Skills/Knowledge

· Knowledge of Microsoft Office, including Outlook, Excel, Word, Tableau and PowerPoint

· Knowledge of CN’s internal systems, including SAP, PAP, Dashboard, SRM

· Superior planning, analytical and problem-solving skills

· Superior organization skills and ability to multi-task

· Superior interpersonal skills for interacting with all employees (unionized to executive), with customers and the public

· Ability to meet critical deadlines, adjust priorities

· Ability to make decisions

· Familiar with CN Policies and procedures, including governance
